Setting User Preferences in NetSuite
Elevate your users' NetSuite experience from the start by making changes to five user preferences. The first two settings I recommend changing are located in the General tab > Optimizing NetSuite section. I flip-flop the native settings for the Number of Rows in List Segments and Maximum Entries in Dropdowns and here's why:
Number of Rows in List Segments: Consider this as the number of shoes you view on a single page while online shopping. It's more convenient to see a larger quantity before clicking to the next page. The default setting is 25, but I typically adjust it to 200-250.
Maximum Entries in Dropdowns: This marks the transition from displaying a dropdown list to choosing a value, allowing users to click into the field and start typing to quickly locate their desired value. The default is 200, but I prefer setting it to a maximum of 20 values. Who wants to navigate through 200 dropdown options?!
Make it PDF! Found in the Transactions tab under the Printing section, the Transaction Email Attachment Format has two options to choose from. When emailing transactions from NetSuite, it defaults to attaching them in HTML format. I always switch it to PDF because nobody wants to open an HTML attachment.
Make searching easier by enabling the following settings found in the Analytics tab under the Search section.
Show List When Only One Result: Enable this option to maintain the search format display even if there's only one result; otherwise, it directly navigates to the record when there's a single result. I highly recommend enabling this feature.
Popup Search Uses Keywords: (THE MOST IMPORTANT ONE!) Enabling this setting allows you to enter data more efficiently by typing any word related to the desired value in a field. For instance, in a journal entry, with this setting enabled, typing "Office" in the account field retrieves the relevant account, eliminating the need to search the GL list for the account number and manually enter the account number.
